We are looking for a Facilities Coordinator to support a globally recognized media and technology organization based in Tokyo. This is an exciting opportunity for a proactive facilities professional who enjoys taking ownership of workplace operations and delivering an exceptional employee experience.
As the site lead for facilities operations, you will be responsible for ensuring the smooth running of the office, managing vendors, maintaining workplace standards, supporting business stakeholders, and driving continuous improvement initiatives.
Responsibilities
In this role, you will be responsible for:
- Managing daily facilities and office operations, ensuring a safe, efficient, and professional workplace environment;
- Coordinating workplace services include housekeeping, office maintenance, equipment upkeep, pantry and common areas;
- Managing third-party vendors and monitoring delivery service against agreed standards and KPIs;
- Partnering with business leaders and employees to address workplace needs and resolve operational issues;
- Supporting health, safety, emergency preparedness, and workplace compliance activities, including fire drills and incident management;
- Managing operational budgets, vendor invoices, and payment processes while identifying cost-saving opportunities;
- Preparing operational reports, service reviews, and stakeholder updates; and,
- Leading workplace improvement initiatives that enhance employee experience and operational efficiency.

Required Skills, Qualifications & Attributes
To be successful in this role, you’ll need:
- A Bachelor’s degree in Business, Hospitality Management, Facilities Management, Property Management, or related field (Equivalent experience will also be considered.);
- Minimum 3-5 years’ experience in facilities management, workplace services, property management, office administration, or a related field;
- Demonstrated experience managing site operations independently;
- Proven ability to manage vendors, service providers, and multiple stakeholders;
- Strong customer service mindset with excellent communication and relationship management skills;
- Experience supporting workplace health, safety, compliance, and emergency response activities;
- Strong organizational skills with the ability to prioritize competing demands in a fast-paced environment;
- Experience with budgeting, invoice processing, reporting, and performance tracking; and,
- Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
