About the Role
Drake Business Services Asia is a leading provider of Office Support Services in Japan, enabling our clients to focus on what they do best.
We are looking for a professional Reception/Admin Coordinator to support our multinational corporate client, a global investment firm based in Tokyo.
As a member of the Japan team, you will be responsible for delivering an excellent front-of-house experience while providing administrative and workplace support to ensure the smooth day-to-day operation of the office.
Responsibilities
In this role, you will be responsible for:
- Welcoming visitors, clients, and employees while managing front desk operations professionally;
- Answering and directing incoming phone calls and handling general enquiries;
- Coordinating meeting room bookings, setup, and video conference support;
- Managing incoming and outgoing mail and courier services;
- Supporting office administration, including invoice processing and operational documentation;
- Coordinating office maintenance requests and liaising with vendors and building management;
- Managing office supplies, pantry inventory, and stationery procurement;
- Supporting employee onboarding and offboarding, including security access, desk setup, business cards, and equipment coordination;
- Assisting with internal office events and workplace initiatives; and,
- Performing other administrative and operational support duties as required.

Required Skills, Qualifications & Attributes
To be successful in this role, you’ll need:
- Minimum of 1 year experience in reception, office administration, workplace services, hospitality, or customer service;
- Native-level Japanese and business-level English communication skills;
- Strong customer service and interpersonal skills with a professional presentation;
- Excellent organizational skills with the ability to manage multiple priorities;
- Proficiency in Microsoft Office and standard office systems; and
- A proactive, detail-oriented, and team-focused approach to work.
- Previous experience in a multinational or corporate office environment is highly preferred.
