About the Role

We are looking for a Workplace Hub Coordinator to support the smooth day-to-day operation of workplace facilities and office services. As part of the Workplace Hub team, you will be responsible for coordinating building and facility operations, supporting employees and visitors, managing workplace resources, and helping maintain a safe, efficient, and organized office environment.
Responsibilities
In this role, you will be responsible for:
- Managing workplace and facility operations, including meeting rooms, workplace resource, keys, access cards, and office facilities;
- Coordinating building cleaning, maintenance activities, repair requests, and vendor visits while liaising with internal stakeholders and relevant departments;
- Supporting meeting room reservations, room setup, workplace events, and facility-related service requests;
- Managing workplace-related activities, including emergency supplies, First Aid Room operations, parking facilities, bicycle parking areas, and facility equipment;
- Handling workplace facility issues, maintenance requests and complains, arranging repairs, and ensuring timely resolution and follow-up;
- Managing facility opening and closing procedures and maintaining workplace resources, artwork, decorative items, and related equipment;
- Supporting Japanese and English communication with employees, vendors, and stakeholders; and,
- Coordinating with employees, vendors, and service providers to ensure a safe, organized, and efficient workplace environment.

Required Skills, Qualifications & Attributes
To be successful in this role, you’ll need:
- Fluent business-level Japanese and English communication skills;
- Minimum of 1 to 3 years of experience in workplace services, facilities coordination, office administration, hospitality, customer service, or similar fields;
- Proven ability to manage multiple administrative tasks accurately and efficiently;
- Experience coordinating vendors, maintenance activities, workplace services, or facility operations;
- Strong organizational, communication, and interpersonal skills; and,
- A proactive attitude, attention to detail, and an ability to work independently.
