About The Role

We’re looking for a MAC specialist / FM to support our client in Tokyo. This role focuses on workplace operations, office moves, and space management with a strong emphasis on CAD-based layout creation and updates.

You will play a key role in ensuring smooth execution of workplace changes and maintaining high standards of operational efficiency within a complex corporate environment.

Responsibilities

In this role, you will be responsible for:

• Managing Move, Add, Change (MAC) activities in alignment with Facilities Management operations and service standards.
• Using CAD to create, update, and maintain office layouts and space configurations (mandatory requirement).
• Supporting office moves, space planning, and workplace reconfiguration activities.
• Coordinating with vendors and internal stakeholders to ensure smooth execution of move and fit-out projects.
• Monitoring and handling daily facilities service requests (furniture, repairs, seating, ergonomic needs, etc.).
• Ensuring workspace readiness, quality control, and compliance during office changes and relocations.
• Supporting headcount tracking, seat planning, and space optimization initiatives.
• Collaborating with workplace, design, construction, and operations teams for seamless service delivery.
• Providing documentation, reporting, and tracking for MAC/FM activities and incidents.

Required Skills, Qualifications & Attributes

To be successful in this role, you’ll need:

• 3-5 years of experience in Facilities Management, MAC coordination, or workplace services.
• Strong CAD operation skills (mandatory) for office layout creation and updates.
• Experience in office space planning, workplace management, or FM operations.
• Strong coordination and stakeholder management skills with vendors and internal teams.
• Proactive, adaptable, and able to manage multiple priorities.
• English communication skills (spoken and written) is a plus.

Preferred qualifications:

• Experience in multinational corporate or large-scale tech environments.
• Knowledge of SLA management and service delivery compliance.
• Vendor management and quality control experience.
• Familiarity with Facility Management Systems (FMS) or workplace tracking tools.
• Experience in continuous improvement or workplace optimization initiatives.
