About The Role
Drake Business Services Asia is a leading provider of Managed Logistics Services in Taiwan, enabling our clients to focus on what they do best.
We’re looking for candidates to serve as Mailroom Staff, supporting the logistics operations of our major client.
As a member of the Operations team, you’ll be responsible for handling and processing inbound and outbound mail/items in the mailroom from receiving, sorting, encoding, checking, preparation for dispatch, status monitoring and reporting.
Responsibilities
In this role, you will be responsible for:
I. Document Processing & Outgoing and Incoming Mail
- Collect and distribute documents across departments; receive, record, sort, and distribute registered mail from the building mailroom (10:30-12:00) including ad hoc collections when notified.
- Collaborate with the team to collect outgoing documents from designated collection points.
- Insert documents into envelopes, apply a verified seal chop, and carry out a mandatory Four Eyes Check (dual-operator verification) at each stage before sealing.
- Handle confidential pre-sealed letters in accordance with company policies.
- Collaborate with the team to ensure all outgoing mail, along with itemized detail sheets, is delivered to the Post Office by 16:30 daily.
- Handle ad hoc courier deliveries or notifications for documents across departments.
- Provide support to the reception desk and assist departments with urgent document collection and delivery.
II. Recordkeeping & Reporting
- Record daily outgoing mail volumes by business unit and enter data into the monthly tracking sheet.
- Provide data to support the Mailroom Supervisor in preparing the monthly mailroom report.
- Escalate unresolved issues to the Supervisor or Client Account Manager in accordance with the DBST escalation procedure.
III. Perform other tasks as assigned by the supervisor, including participating in internal or external training programs as required by the company, with all training costs covered by the company.

Required Skills, Qualifications & Attributes
To be successful in this role, you’ll need:
- A valid scooter/motorbike license (required) and a vehicle (preferred).
- Functional English reading and writing ability (to read labels, verify addresses, and communicate via email).
- Proficiency in basic computer use for data entry and use of email, databases or label-printing systems, and any other application.
- Strong attention to detail with the ability to follow multi-step procedures consistently and accurately.
- Good time management skills with the ability to meet firm daily deadlines.
- Trustworthiness and discretion when handling sensitive and confidential financial documents.
- 2+ years experience in a mailroom, logistics, or document-processing role (preferred).
- Prior experience in banking or financial services and back-office operations (preferred).
